We've changed the invite process for Advantage to support the introduction of a desktop version. This change now means that all users have separate logins to view the data they have been given access to.

Important: If the relationship email address is used on the client profile (for example, a parent’s email listed on a child’s profile), do not invite that person as a participant.

Instead, create a Relationship record for the parent and send the invitation from the Relationships table. Instructions for this process are outlined in the How to Invite a Relationship Record section of this guide. This helps ensure clear auditing of who has access to a participant’s funding and invoices. If a parent has multiple children, this approach allows them to be granted appropriate access to each participant for Advantage.

Inviting a Client

  1. 1. Select the client profile and click Advantage Access



 The Advantage invite section will display below. 


  1. 2. Click Send Invitation

The Status field will change to Invite Sent. The invite link will stay active for 24 hours. If it’s not registered in this timeframe, the status will update to Invite Expired.

3. From here click to Send Invitation for them to receive a new invite link or you can Remove Access


If they have followed the invite link and registered, you will see the status updated to Registered

Once registered, you can remove access. This will stop them from logging back into the account. 


Inviting a Relationship record

NOTE: Relationship records could share the same name and be linked to other participants. It’s important to confirm the email address and ensure you are inviting the correct person to view the funding. Any client that is linked to the relationship will be viewable once their registration is complete. 

If an email address needs to be updated. Access should be revoked first before making changes to the email field. After the new email address is added, a new invite can be sent. 


Please follow the below steps:

  1. 1. Select the client profile and click Relationships

NOTE: If the relationship record does not have an email present, you will need to add one in. There will be an Add Email button on the record, if selected it will take you to the relationship record.


 

 

Once the email is populated, go back to the client profile.

 The invite status for the relationship records will be the same as the client. 

  1. 2. Select a Relationship record with status NO ACCESS to start the invite process


  1. 3. When the modal displays select Send Invitation


The status will update to Invite Sent


  1. 4. Select the X to close the modal


If the invite link hasn’t been actioned in 24 hours the status will update to Invite Expired


  1. 5. Click Invite Expired and select Send Invitation when the modal displays


 

When the registration process has been completed, the record's status will change to Registered, and they will be able to log into the account.
