Streamline Payment Automation Feature

Streamline has two features (Manual Batch or Streamline Automated) that support the bulk creation of invoices that are uploaded / emailed to Streamline. To implement this solution, we have introduced a new validation called "Approved Service Provider". This is to ensure there is some control around which invoices can be bulk created as part of these two features.

An Approved Service Provider invoice is an invoice where the Service Provider on the invoice relates to either the client's Service Provider Category budget, Service Support or there are previous DS records with the status Provider paid with the same support code. 

Manual Batch Approval

Manual Batch will provide a new action for users to be able to bulk select invoices with the status Approved Service Provider for creation. 

To enable this feature please follow the steps below:

1. Select the cog icon in the top right and scroll to Streamline General Settings


2. Select the toggle to enable Manual Batch Approval for your organisation (please note this is an organisation wide change)

3. Review and confirm the disclaimer message


Once confirmed, Manual Batch Approval is ready for use. 

If needed, you can control which users should have access to this action.

4. To customise User Roles, select Settings > User Roles
5. You can either add this access to an existing role or create a new User Role one and enable the Manual Batch Approve option under Streamline

How to Batch Approve Invoices 


1. Go to Streamline and upload some invoices if the Service Provider is approved the status will update to Approved Service Provider. 


2. Select the invoices with the status Service Provider Approved and go to Actions > Approve Invoices option


3. A confirmation window will appear, summarising invoices that are going to be approved. When you confirm the invoices will be created in the Invoice Entry Screen. 



Streamline Automated

Streamline Automated will process all invoices with the status Approved Service Provider without user intervention. Similar to Manual Batch it will only auto create invoices that have the status Approved Service Provider and pass the standard validation checks of invoice creation i.e duplication checks and funding validation.

To enable Streamline Automated please follow the below steps:

1. Select the cog icon and scroll to Streamline General Settings



2. Select the Automated Invoice Processing setting

3. Review and confirm the disclaimer message



Once confirmed any invoices that have the status Approved Service Provider these will now be automatically processed from Streamline to the Invoice Entry screen


As these invoices are processed through Streamline Automated, you will be able to identify and filter these invoices via the green star icon and the use of the Streamline Automated Invoices check box at the top of the page
