Entering funding for plan managed clients




To enter the funding for your plan managed client, open their service contract by going to the CRM section on the menu, clicking on Clients and selecting the client's name. On the Client Profile screen, go to the Client Funding section showing at the bottom of the screen and click the open link on their service contract. The first section to add in is the Plan Budget. This is where you enter the funding for each support category on their NDIS plan that you'll be processing invoices against from their service providers. Click on the new link on the right side of the Plan Budget section and on the Add Budget category window, select the first plan category that the client has funding for, then enter the budget amount. Click the Save and Add New button to continue and enter the other areas they have been allocated funding for.

Don't forget to enter in their Improved Life Choices funding at this stage as well to ensure that you can claim the monthly plan management fees and client setup costs. After entering the last funding category, just click the Save button. All the items you have entered will show in the Plan Budget section. Check that the total allocation value at the top of the screen matches the total funding.

If you need to update the total funding value, click on the Edit button in the top left corner, update the total funding value and click Save. You've now entered the minimum amount of details you need on the service contract to process your client's invoices from their service providers. If your client has funding for other support categories that you are not looking after, you can enter them into Careview for Reference Purposes. When adding these into the Plan Budget section, just tick the Exclude from Service Contract Allocation Totals tick box before you click Save.

By ticking this, you are telling Careview that you are not looking after the funding for that category and the value for it won't be added to your total allocation. The next section is the Service Provider Category Budget. This is where you can record the agreements that exist between the client and their service providers and their agreed values. This will quarantine those funds from that support category to only be used by that service provider. To add a service provider category budget, just click on the new link up to the right, select the service provider and category, then enter the amount from their service agreement and click Save. If your client's NDIS plan has any stated items listed for a particular support item number, you can enter these in the Service Support section. To do this, click on the new link out to the right side of the service support and the Create Service Support screen appears.

In the Service field, search for the support item either by its name or by its support item number and select it from the list. You can then use the NDIS Rate field to select the applicable rate for the item based on the client's location and the relative NDIS price guide. If the service provider is charging less than the NDIS Rate, select Use Alternative Rate and enter the rate manually in the Rate Amount field.

As soon as you enter the quantity, you'll see that the Rate Amount and Quantity are multiplied to provide you with a total at the bottom of the screen. Use the Service Provider field to select the relative service provider and lead the management style set to Not Applicable. This field doesn't impact plan management clients. You will notice the Exclude from Service Contract Allocation totals tick box is already ticked. This is because the value of the service support will already be showing in the Plan Budget section under its Support category and you don't want to show this twice in the total allocation. When ready, click the Save button. When you have finished setting up the service contract, you can now process any invoices for the client that you receive from their service providers.
