If a client has been incorrectly set up as a PACE client but should be a PRODA client, the PACE setting cannot simply be removed while the client has an active PACE Service Contract with delivered services. This is related to when you tick the 'NDIS PACE Participant' checkbox in a client profile and you want to untick this to change the client to a PRODA plan.
The appropriate solution depends on the client's circumstances and whether there are existing invoices/services attached to the Service Contract.
Check the client's profile and determine:
Is there an active PACE Service Contract?
Have services already been delivered against the Service Contract?
Have invoices already been created?
Is the client relatively new, with little or no historical data?
The answers will determine the best approach.
If the client has an active PACE Service Contract with delivered services, you cannot simply untick the PACE checkbox.
Where possible:
Review the existing PACE Service Contract and associated services/invoices.
If necessary, cancel/delete the relevant invoices.
Once there are no active PACE services preventing the change, remove/delete the PACE Service Contract as appropriate.
Return to the client's profile.
Untick the PACE checkbox.
This should allow the client to be set up using a PRODA Service Contract.
Re-establish the required services/invoices under the PRODA Service Contract.
Important: Take care before deleting or cancelling existing invoices. If the client has significant historical activity, check the appropriate process before making changes.
If the client is relatively new and has little or no historical information, it may be simpler to create a new client profile.
Create a new client profile.
Do not select the PACE checkbox.
Set up the appropriate PRODA Service Contract.
Re-enter any required invoices or information.
Continue using the new profile going forward.
This can be the simplest option where there is very little existing client data to transfer.
